Portfolio and Programme

Paid plan

Connect strategic ambition to projects, evidence and measurable outcomes.

A transformation rarely fails because there are too few projects. It becomes difficult to manage when projects live in separate lists, their contribution to the business is unclear, and nobody can show whether the company has improved from where it started. Portfolio and Programme adds the management layer above your Upgraded.today initiatives.

Organise a company, investment portfolio or transformation agenda into portfolios and programmes. Link projects managed in The Better Business Project, keep their supporting tool initiatives connected, and follow up to 12 custom KPIs for each portfolio and programme.

The problems it solves

A shared direction. A visible starting point.

Projects disconnected from strategy

Group related projects into programmes and programmes into a portfolio. Give each level a clear purpose so individual initiatives sit within a wider business direction.

Activity without measurable improvement

Define what better means before work begins. Compare confirmed measurements against baseline and target values rather than treating a busy project list as proof of impact.

Moving targets and forgotten starting points

Lock the baseline and retain a version history when baseline or target values change. Keep the starting assumptions visible as the transformation develops.

Fragmented ownership and reporting

Record a KPI owner, measurement source and reporting frequency. Invite contributors and guests separately at each level, so collaboration follows the responsibilities of the work.

Baseline and outcomes

Measure the change, not just the work.

Choose the indicators that matter to your business: processing time, service quality, cost, revenue, capacity or another measurable outcome. Each KPI has its own unit, direction of improvement, baseline and target dates, owner, and weekly, monthly or quarterly measurement frequency.

Confirmed measurements, visible progress

Record values with dates and comments. Progress bars, trend lines and health indicators show movement from the baseline toward the target. Health reflects improvement achieved, not a forecast or proof that a deadline will be met.

AI suggestions you control

Link a KPI to a source initiative and request an AI-suggested value from supported initiative data. Review its explanation, then confirm or reject it. Suggestions do not count as confirmed progress until you approve them.

One connected structure

Different levels. Clear responsibilities.

Portfolio — the strategic view

Create a portfolio with a name and purpose, organise its programmes, and define its own business-level KPIs. Use it to frame a company-wide transformation, a business area or the improvement agenda for portfolio companies.

Programme — coordinated improvement

Create a programme within a portfolio or keep it standalone. Link its Better Business projects and follow their spread across Idea, Discovery, Planning, MVP Launch and Product/Service Delivery. Give the programme its own baseline and KPIs to track the outcomes of the coordinated work.

Projects and initiatives — the evidence behind the work

The Better Business Project remains the project level. Its linked initiatives bring in problem reports, task data, stakeholder input, requirements, decisions and workflow analyses from the toolset. The hierarchy adds context without replacing the tools where the work happens.

Access follows each level

Owners manage sharing with contributors and view-only guests. Invitations are separate for each portfolio, programme and initiative: access to a portfolio does not automatically open everything beneath it. Creating portfolios and programmes is part of the Paid plan; invited users can access the units shared with them.

Start with the outcome you want to change.

  1. 1. Set the direction. Create a portfolio or programme and describe its purpose.
  2. 2. Establish the starting point. Define your KPIs, baseline values and targets, then lock the baseline.
  3. 3. Connect the work. Organise programmes, link Better Business projects and use tool initiatives as evidence.
  4. 4. Review the outcomes. Add measurements, assess progress and confirm or reject AI suggestions.
